Why tone is hard to judge in writing
In person, tone comes from voice and face. In writing, readers fill the gap themselves, and research by Justin Kruger and colleagues (2005) found people greatly overestimate how well their email tone comes across. A short, efficient message can read as curt; a joke can read as sarcasm.
Quick fixes for common tone problems
- Too blunt: add a reason and a thank-you. “I need it today” → “Could you send it today? The client meeting is at 4.”
- Too hedged: cut “just”, “I think maybe”, “sorry to bother you”.
- Passive-aggressive: remove “as I mentioned”, “per my last email” and pointed repetition.
- Too casual for the reader: expand contractions and drop exclamation marks.
